Session pack or unlimited access?
These models serve different attendance patterns. A session pack tracks a balance, while unlimited access tracks a period and booking conditions; in both cases the class still has a finite number of places.

When should a cancelled session return to the balance?
Choose the studio policy first, then check that the software can implement it. The deadline should leave time to offer the place again and be known before reservation, rather than appearing only when a client tries to cancel.
Repeat the test for a late cancellation and for a class cancelled by the studio. These are different situations, and staff should be able to explain why a session is restored or remains consumed.
How to handle expiry, pauses and renewal
Check validity on the class date, not only on the day the reservation is made. A pass active today may expire before the session a member wants to attend next week.
If you allow pauses, define when they can be requested, how long they last and how they affect expiry. Test existing reservations within the paused period too, so staff do not have to invent a correction for every individual case.
Distinguish a renewal reminder from an automatic card charge. Membership tracking and online payment acceptance do not establish that next month’s fee will be collected automatically; recurring billing needs separate confirmation.
What should clients see on their phone?
Clients need their active membership, remaining sessions, expiry date and future bookings. Reception should use the same information, so answering a balance question does not require reconciling a separate file with the calendar.

How to move memberships from Excel or another app

- Set up membership types first, then confirm the accepted import format with the vendor.
- Test a sample including a new pass, one with few sessions left and a paused membership.
- Confirm balances before opening bookings and decide who can correct any discrepancies.
Do not import a session count without knowing when it was checked. A list exported on Monday and loaded on Friday may already be outdated if members kept attending classes during those days; establish how those intervening visits will be reconciled.

Can I sell separate yoga and Pilates passes?
Yes, if each pass defines its eligible classes and booking checks those rules. Deliberately try an ineligible class during the demo to see the result the client receives.
Does unlimited access guarantee a place?
No: class capacity remains a physical limit. Explain booking, waiting-list and usage rules before selling the membership so clients know what access means in practice.
